SambaPOS Accounting System"},"content":{"rendered":"<p>Credit and debit accounts are technically the same thing in SambaPOS. If you want a credit account, you make sure it always has a negative balance. If you want a debit account, you make sure it always has a positive balance. So, accounts with a balance between brackets are credit accounts and the other accounts are debit accounts.<\/p>\n<p>To understand the SambaPOS accounting system better, you have to realize when you see negative numbers (balance between brackets), that doesn&#8217;t mean the amount is negative. It means it&#8217;s a credit account. There&#8217;s a difference between the amount shown and its &#8216;absolute value&#8217;, which is the actual amount no matter if it&#8217;s positive or negative. That the Sales account balance is between brackets does not mean you have negative sales, it means it&#8217;s a credit account like in classical accounting.<\/p>\n<h2 id=\"debit_accounts\" class=\"sectionedit2\">Debit accounts<\/h2>\n<div class=\"level2\">\n<p><strong>(positive balance)<\/strong><\/p>\n<p>Some common Debit Account types:<\/p>\n<ul>\n<li class=\"level1\">\n<div class=\"li\">Cash Drawer<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Bank Accounts<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Paid Expenses<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Discounts (inverse revenue)<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Receivables<\/div>\n<\/li>\n<\/ul>\n<p>To increase the \u2018absolute value\u2019 (balance without a plus\/minus) of a debit account (make it more positive), you need an account transaction that:<\/p>\n<ul>\n<li class=\"level1\">\n<div class=\"li\">Increases the balance (adds to the \u2018debit\u2019 part) of the account<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Decreases the balance (adds to the \u2018credit\u2019 part) of another account<\/div>\n<\/li>\n<\/ul>\n<p>To decrease the \u2018absolute value\u2019 (balance without a plus\/minus) of a debit account (make it more negative), you need an account transaction that:<\/p>\n<ul>\n<li class=\"level1\">\n<div class=\"li\">Decreases the balance (adds to the \u2018credit\u2019 part) of the account<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Increases the balance (adds to the \u2018debit\u2019 part) of another account<\/div>\n<\/li>\n<\/ul>\n<\/div>\n<h2 id=\"credit_accounts\" class=\"sectionedit3\">Credit accounts<\/h2>\n<div class=\"level2\">\n<p><strong>(they have a negative balance)<\/strong><\/p>\n<p>Some common Credit Account types:<\/p>\n<ul>\n<li class=\"level1\">\n<div class=\"li\">Sales\/income<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Tips<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Tax<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Prepaid Sales\/customer credit accounts (customer accounts, SambaCards, etc)<\/div>\n<\/li>\n<\/ul>\n<p>To increase the \u2018absolute value\u2019 (balance without a plus\/minus) of a credit account (make it more negative), you need an account transaction that:<\/p>\n<ul>\n<li class=\"level1\">\n<div class=\"li\">Decreases the balance (adds to the \u2018credit\u2019 part) of the account<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Increases the balance (adds to the \u2018debit\u2019 part) of another account<\/div>\n<\/li>\n<\/ul>\n<p>To decrease the \u2018absolute value\u2019 (balance without a plus\/minus) of a credit account (make it more positive), you need an account transaction that:<\/p>\n<ul>\n<li class=\"level1\">\n<div class=\"li\">Increases the balance (adds to the \u2018debit\u2019 part) of the account<\/div>\n<\/li>\n<li class=\"level1\">\n<div class=\"li\">Decreases the balance (adds to the \u2018credit\u2019 part) of another account<\/div>\n<\/li>\n<\/ul>\n<\/div>\n<h2 id=\"account_statements_account_transactions\" class=\"sectionedit4\">Account Statements (Account Transactions)<\/h2>\n<div class=\"level2\">\n<p>Taking money out of an account or adding to it, you can do with an Account Transaction. Account transactions take an amount of money away from the source account and add it to the target account. (In classical accounting this is called \u2018crediting a debit account\u2019) For a credit account, the \u2018absolute value\u2019 will go up. (In classical accounting this is called \u2018debiting a credit account\u2019)<\/p>\n<p><strong>Default target account:<\/strong><\/p>\n<p>This is the account where money is added to by the transaction (by adding to its \u2018debit\u2019 part), increasing the account balance (but not necessarily the \u2018absolute balance\u2019).<\/p>\n<p>For a debit account, the \u2018absolute value\u2019 will go up. (In classical accounting this is called \u2018debiting a debit account\u2019) For a credit account, the \u2018absolute value\u2019 will go down. (In classical accounting this is called \u2018crediting a credit account\u2019)<\/p>\n<p>If you do not set up a default target account in transaction types any buttons you define with a\u00a0<a class=\"wikilink2\" title=\"account_transaction_document_types\" href=\"https:\/\/sambapos.com\/wiki\/doku.php\/account_transaction_document_types\" rel=\"nofollow\">document type<\/a>will not be available.<\/p>\n<\/div>\n<h3 id=\"increasing_decreasing_the_absolute_value_of_an_account\" class=\"sectionedit6\">Increasing\/decreasing the &#8216;absolute value&#8217; of an account<\/h3>\n<div class=\"level3\">\n<p>to increase the &#8216;absolute value&#8217; of a credit account (Sales, SambaCard, etc): you select the account in the &#8216;source account&#8217; field of an Account Transaction<\/p>\n<p>to decrease the &#8216;absolute value&#8217; of a credit account (Sales, SambaCard, etc): you select the account in the &#8216;target account&#8217; field of an Account Transaction<\/p>\n<p>to increase the &#8216;absolute value&#8217; of a debit account (Cash, Receivables, etc): you select the account in the &#8216;target account&#8217; field of an Account Transaction<\/p>\n<p>to decrease the &#8216;absolute value&#8217; of a debit account (Cash, Receivables, etc): you select the account in the &#8216;source account&#8217; field of an Account Transaction<\/p>\n<\/div>\n<h2 id=\"usage\" class=\"sectionedit7\">Usage<\/h2>\n<div class=\"level2\">\n<p>You first look at the account where you want to increase or decrease it\u2019s \u2018absolute value\u2019 (for example \u2018Sales\u2019 must go up when you make a sale). You check if it\u2019s a debit or credit account (Sales is a credit account, it has a negative balance). To increase the \u2018absolute value\u2019 of a credit account, it has to be put in the Default Source Account field (you\u2019re taking an amount away from it\u2019s balance). Then you have to find another account to put in the Default Target Account. The balance of this account will be increased (not necessarily the \u2018absolute balance\u2019 though). So you can choose either a debit account (of which the \u2018absolute balance\u2019 will go up) or another credit account (of which the \u2018absolute balance\u2019 will go down).
